ECEIM Publications – Step-by-Step Guidance

This document provides clear, structured guidance for ECEIM Diplomates and ECEIM Residents on how to navigate the publication process for the Journal of Veterinary Internal Medicine (JVIM), including submission, peer review, and Article Processing Charge (APC) handling.

Section A – Guide for ECEIM Diplomates

A1. Eligibility and Intent to Publish

  1. ECEIM supports a maximum of 15 publications (in total including diplomate and resident publications) per calendar year.
  2. Prior notification of intent to publish is mandatory in order to confirm eligibility for ECEIM financial support. Please email treasurer@eceim.info with your notification of intent to publish.;
  3. Confirmation of support must be obtained before manuscript submission to confirm funding.

A2. Manuscript Preparation

  1. Identify the appropriate JVIM article type (one of seven peer‑reviewed categories).
  2. Format the manuscript according to the JVIM Author Guidelines: https://academic.oup.com/jvim/pages/author-guidelines

A3. Manuscript Submission

  1. Submit the manuscript via ScholarOne Manuscripts (S1M): https://mc.manuscriptcentral.com/jvim
  2. Designate the submitting author and corresponding author (these may be the same individual).

A4. Peer Review and Revision

  1. All authors receive editorial correspondence from JVIM@ACVIM.org or onbehalfof@manuscriptcentral.com.
  2. Respond to reviewer comments and submit revisions through ScholarOne Manuscripts (S1M) as requested.

A5. Manuscript Acceptance

  1. The final communication from ScholarOne Manuscripts (S1M) is the acceptance decision.
  2. No APC payment or licensing actions occur within ScholarOne Manuscripts (S1M).

A6. Post‑Acceptance Processing

  1. The JVIM Editorial Office prepares the accepted files to OUP typesetting standards.
  2. Files are transferred from the JVIM Editorial Office to Oxford University Press (OUP) production systems.

A7. APC Assessment and Determination

  1. The JVIM Editorial Office evaluates whether the corresponding author’s organisation has a Read & Publish (R&P) agreement.
  2. The Non‑Society APC is USD $2000; the Society APC is USD $1460.
  3. For partial R&P coverage, the lowest total APC (R&P balance vs Society APC) is applied.
  4. From 2027, APCs increase by 4.5%; the Society APC remains a 37% discount.

A8. APC Waivers

  1. Authors without APC funding and no R&P coverage may apply for a discretionary waiver.

2.Waiver applications are submitted via OUP’s Author Support platform and reviewed by the JVIM publisher.

A9. Licensing and Payment

  1. The corresponding author receives an email from no‑reply@scipris.com with SciPris access details.
  2. The corresponding author completes the publication licence and resolves APC payment.
  3. Invoices may be requested for third‑party payment where applicable.
  4. Submit an expense claim via the ECEIM website in your diplomate profile with the corresponding invoice for payment to be made. 

Section B – Guide for ECEIM Residents

B1. Early Planning and Supervision

  1. Discuss publication plans early with your supervising diplomate.
  2. Confirm authorship roles and corresponding author designation.
  3. ECEIM supports a maximum of 15 publications (in total including diplomate and resident publications) per calendar year.
  4. Prior notification of intent to publish is mandatory in order to confirm eligibility for ECEIM financial support. Please email treasurer@eceim.info with your notification of intent to publish.;
  5. Confirmation of support must be obtained before manuscript submission to confirm funding.

B2. Manuscript Preparation

  1. Prepare the manuscript according to JVIM article type and author guidelines.
  2. Ensure accuracy of affiliations and society membership details.

B3. Submission via ScholarOne

  1. Submit the manuscript through ScholarOne Manuscripts if designated as submitting author.
  2. Alternatively, support the diplomate submitting author with required documentation and revisions.

B4. Peer Review and Revisions

  1. Monitor communications from ScholarOne during peer review.
  2. Collaborate with the corresponding author to address reviewer comments.

B5. Acceptance and APC Handling

  1. Acceptance is communicated via ScholarOne Manuscripts.
  2. APC assessment is handled by the JVIM Editorial Office; residents do not manage APC calculations.

B6. Licensing and Publication Completion

  1. The corresponding author completes SciPris licensing and APC steps.
  2. Confirm publication progression with the supervising diplomate as needed.
